Top 5 Church Communication Software Platforms in 2026 (Honest Comparison)

Introduction

Church communication software has one job: get the right message to the right people before it is too late to matter. The Wednesday Bible study moved rooms. The youth trip needs a final headcount. Ice is on the roads and Sunday service is canceled. If those messages live in a bulletin, a Facebook post, or one volunteer's personal group text, somebody gets missed -- and it is usually the people who most need to hear from you.

The hard part is choosing a tool. Some platforms are full church management systems with texting bolted on. Some are texting services with no idea what a small group is. Some want every member to download an app, which works for members who open it and not at all for those who never will.

This guide compares five platforms on the thing pastors and church office staff actually ask about: reaching people. We look at texting, email, apps, two-way replies, emergency alerts, and what each one really costs. We do not score accounting, child check-in, or donor management here. If you need a full system for those, read our companion guide to the best church management software for small churches.

Disclosure: Study The Word is built by our team at KG ProDesign. We include it because it is the tool we designed for exactly this problem, and we have tried to be fair to every option on this list.

How We Evaluated These Platforms

We looked at each tool through the eyes of a small church office serving everyone from teenagers to retirees:

  • Reach: Does the message reach members who never download an app or who do not own a smartphone?
  • Ease for members: Can someone get messages, reply, or join a group without creating an account or remembering a password?
  • Ease for staff and leaders: Can a Bible study leader message their own group without asking the church office every time?
  • Two-way communication: Can members reply to RSVP or opt out, and does the system understand those replies?
  • Emergency readiness: Can you reach everyone fast when it matters, even at a bad moment?
  • Pricing transparency: Is pricing published? Does the cost climb as your church grows?
  • Compliance: Does the texting follow carrier rules, including opt-in and STOP/HELP handling?

Pricing comes from each vendor's public pricing page, checked in October 2026. Where a vendor does not publish a price, we say so. Weaknesses marked "commonly cited" reflect recurring public user feedback, not our own testing of every plan.

The 5 Best Church Communication Software Platforms

1. Study The Word -- Best Overall for Church Communication and Best Free Option

What It Does Well: Study The Word describes itself as "a simple communication layer for your church -- automatic text and email reminders for Bible studies, ministries, and events. No app to download. No new passwords." That focus is why it sits at the top of this list. It is built around one question: did the message actually reach the person?

  • No app download. Everything works in any phone's web browser. Members who will never visit an app store still get every message by text or email.
  • Text-to-join. A member can join a group by sending a text. No app, no account. You can also share a QR code that people scan to join.
  • Reply to RSVP. Members reply YES, NO, or MAYBE to an event text and their RSVP is recorded. They can also reply PAUSE or RESUME to manage one group's texts, and STOP, START, or HELP like any compliant service.
  • Emergency texts that always go out. Admins can send emergency texts that still send even when the church is out of text credits. Members cannot pause them, and they skip quiet hours. That is the right design for a weather cancellation or a safety alert.
  • Each member chooses how they hear from you. Per notification type, a member picks email, text, both, or none. The retiree who prefers text and the young professional who prefers email both get what works for them.
  • Leaders can message their own people. Admins can text the whole church, a ministry, or a hand-picked group of members. Group leaders can text their own group. Messages can be scheduled, and routine texts respect quiet hours (no texts from 9 PM to 8 AM, church local time).
  • Unlimited email reminders. Automatic event reminders, a weekly digest, 72-hour reminders, recurring events, and cancellation notices go out by email at no extra cost.

Beyond messaging, it covers the basics of running groups: rosters and join requests, attendance tracking with self check-in, shared study materials, and teacher assignments with substitutions. It also supports one-time online giving through the church's own Stripe or PayPal account with no platform fee. Texting runs on registered 10DLC numbers with STOP/HELP language in every message, which is what US carriers expect.

Where It Falls Short: Study The Word is not a full church management system, and it does not pretend to be. There is no accounting, no child check-in or kiosk, no recurring giving or pledges, no multi-campus tools, and no livestreaming. Volunteer scheduling is limited to teacher assignments. There is no native app in the app stores, so there are no push notifications. If you want a branded app icon on members' home screens, Planning Center, Tithely, or Subsplash will serve you better on that point.

Pricing: At the time of writing, the Study The Word pricing page lists:

  • Seed: Free forever, 200 texts/month
  • Grow: $25/month, 600 texts/month
  • Flourish: $60/month, 3,000 texts/month
  • Custom: For larger churches that need more texts

Every plan includes unlimited members, groups, ministries, and leaders, with the same features. Paid plans add a public ministry directory and custom reminder schedules. There is no per-member pricing, failed texts and STOP/HELP replies are never charged, and there is no trial because the free plan never expires.

Best For: Small churches whose main need is reaching people -- use it on its own. Larger churches that also need accounting, child check-in, or recurring giving can run it alongside a ChMS such as Planning Center's free People module, letting each tool do what it does best.

2. Planning Center (Church Center App + Texting)

Pricing: People and Church Center app free. Every other product has a free tier, with paid tiers from $15/month per product.

Texting: $0.02 per text

What It Does Well: Planning Center is one of the most complete church management platforms available, and its free tier is genuinely useful. Because it is modular, you only pay for the pieces you use. Pay-as-you-go texting is simple to understand, and the Church Center app gives members one place to interact with the church. For churches that need a real system of record, Planning Center is a strong foundation.

Where It Falls Short: The modular design is also the most commonly cited complaint. Each product is a separate line item, so costs can spread out as you add modules. Users also commonly mention a learning curve for staff and volunteers. The member experience works best for people willing to use the Church Center app, which leaves less-connected members relying on whatever text and email you set up separately.

Best For: Churches that want a full, modular ChMS and have staff time to set it up. It also pairs well with a dedicated communication tool if you want text-first outreach on top.

3. Text In Church

Pricing: Core, Plus, Suite, and Large Church plans. Prices are not published -- contact the vendor.

Texting: Core feature; overage billed at $0.03 per message

What It Does Well: Text In Church is built specifically for church texting and follow-up. Its focus is helping churches connect with guests and members through text, combined with follow-up workflows so first-time visitors do not slip through the cracks. If your biggest gap is guest follow-up rather than group logistics, its focus lines up with that need. Tiered plans give you a path as you grow.

Where It Falls Short: Without published prices, you will need to contact the company to compare costs. Overage is $0.03 per message, higher than Planning Center's $0.02 rate. It is a texting and follow-up tool, so you will still need something else for group rosters, attendance, or broader church management.

Best For: Churches whose top priority is guest follow-up and texting workflows, and who are comfortable with quote-based pricing.

4. Tithely (Including the Former Breeze ChMS)

Pricing: Giving free (2.9% + $0.30 per card gift); Church Management $72/month; App $89/month; All-Access $119/month. 30-day trial.

Texting: 250 texts/month included with Church Management, then $10 per 500

What It Does Well: Tithely brings giving, church management, and a church app under one vendor. Its giving product has no monthly fee, which makes it easy to start. In August 2025, the Breeze ChMS was rebranded as Tithely Church Management, so former Breeze churches have a direct path. If you want one company for giving, records, and an app, Tithely is a reasonable choice, and the trial lets you test it first.

Where It Falls Short: Costs add up when you want more than one piece, since the app alone costs more than Church Management. Only 250 texts per month are included, which a mid-size church can use up with a few church-wide messages.

Best For: Churches that want giving, records, and an app from one vendor, and former Breeze users who want to stay on the same system.

5. Subsplash

Pricing: Giving $0/month plus processing fees. Full platform pricing is not published -- contact the vendor for a quote.

Texting: Not published -- ask the vendor

What It Does Well: Subsplash is known for custom-branded church apps and media. If your church produces a lot of sermon video, audio, and content, and you want it all inside an app with your church's name on it, Subsplash is one of the strongest options. Giving has no monthly fee, so you can start there.

Where It Falls Short: Commonly cited concerns include contract terms and price increases at renewal. An app-centered approach also depends on members installing and opening the app, which is a real limit for older or less-connected members.

Best For: Larger churches with a media ministry that want a polished, branded app experience and can commit to a contract.

Honorable Mentions

Flocknote. Popular with Catholic parishes, Flocknote handles email and text from one place. It is free for up to 40 members, then pricing scales with member count. That makes it easy to try, though costs rise as your list grows. flocknote.com/pricing

Clearstream. A church texting service that is reported to start at $29/month for 1,250 credits (third-party reported, so confirm current pricing with the vendor). A good fit for churches that want a texting-only tool. clearstream.io

One Call Now. Now part of Crisis24, One Call Now sends mass notifications by voice call, text, and email. The voice option is useful for reaching members on landlines. Pricing is quote-only. onecallnow.crisis24.com

Also on the market: Pushpay (demo required, no public pricing, aimed at larger churches), and Church Community Builder now redirects to Pushpay. Faithlife Equip's ChMS was discontinued in June 2023.

Which Church Communication App Fits Your Church?

There is no single best tool for every congregation. Here is how we would match them.

Under 100 people, part-time or volunteer staff. Start with Study The Word's free plan. Unlimited members and 200 texts a month cover a small church's reminders, and email reminders are unlimited. If you also want a simple member database, add Planning Center's free People module.

100 to 500 people with several ministries. You need leaders who can message their own groups without bottlenecking the church office. Study The Word's paid plans (600 to 3,000 texts a month) handle that. If you also need child check-in, recurring giving, or accounting, run it beside Planning Center or Tithely Church Management.

500+ people or multiple campuses. You likely need a full ChMS first. Planning Center is the most flexible, and Subsplash suits churches built around media and a branded app. A text-first layer can still reach members who never open the app.

Your top priority is guest follow-up. Look closely at Text In Church, which is built around follow-up workflows.

Your top priority is emergency alerts. Choose a tool where emergency messages cannot be blocked by a credit balance or quiet hours. Study The Word's emergency texts are built that way. One Call Now adds voice calls for landline households. Our guide to building a church emergency response plan walks through the full plan.

You need something custom. If your church has a workflow none of these tools fit, contact us to talk through a custom build.

Text vs App vs Email: Which Channel Should You Use?

Most churches need more than one channel. The question is which channel carries which message.

Text reaches almost everyone. Pew Research reports that 98% of US adults own a cellphone, while 91% own a smartphone and only 78% of adults 65 and older do. A basic text reaches the members a smartphone app cannot. Use text for anything time-sensitive: changes, cancellations, RSVPs, and emergencies.

Email is best for longer content: newsletters, study notes, and event details. Mailchimp's all-industry average email open rate is about 35.6%, and that number is inflated by Apple Mail Privacy Protection. Email is valuable, but do not count on it for urgent news.

An app works well for engaged members who open it often, especially for sermons, media, and giving. It works poorly for anyone who never installs it.

For emergencies, FEMA's guide to emergency operations plans for houses of worship lists text messages and emails as alert methods and notes that rapid notification of a threat can save lives. For ten practical ways to combine these channels week to week, see how to communicate with church members.

FAQ

What is the best church communication software?

For most small and mid-size churches whose main need is reaching people, we recommend Study The Word. It works without an app, members can join and RSVP by text, emergency texts always send, and the free plan has no member limit. If you need a full church management system, Planning Center is the strongest all-around choice, and the two work well together.

Is there free church texting software?

Yes. Study The Word's Seed plan is free forever with 200 texts per month and unlimited members. Flocknote is free for up to 40 members. Planning Center has no monthly fee for People, but texting costs $0.02 per text.

Do we need a church app?

Not necessarily. Apps are great for media and engaged members, but they only reach people who install them. Text and email reach everyone else. Many churches do well with text and email alone and add an app later if they have a lot of media to share.

How much does church texting cost?

At the time of writing: Planning Center charges $0.02 per text. Text In Church does not publish plan prices and bills overage at $0.03 per message. Tithely Church Management includes 250 texts per month, then $10 per 500. Clearstream is reported to start at $29/month for 1,250 credits. Study The Word is free for 200 texts per month and $25/month for 600.

Is Planning Center free?

Partly. The People module and Church Center app are free, and each other product has a free tier. Paid tiers start at $15/month per product, and texting is $0.02 per text.

Do members have to opt in to church texts?

Yes. US carriers expect consent before you text people, and reputable church texting services require opt-in and honor STOP requests. Look for a tool that uses registered numbers (10DLC) and includes STOP/HELP instructions. This is general information, not legal advice.
