Introduction
Most small churches buy more software than they use. If you are shopping for church management software for small churches, you have probably seen lists of twenty tools, each with fifty features, and price tags that run from free to well over $100 a month. It is easy to walk away thinking you need all of it.
You probably do not. A church of 60 or 160 people has a few real jobs to get done each week: keep track of who is in the church family, let people know what is happening, organize small groups and ministries, and receive gifts. For many small churches, the hardest of those jobs is not record keeping. It is reaching people. The Wednesday Bible study gets moved, and half the group never hears about it.
This guide starts with what you actually need, then compares six tools that fit small churches, with real prices and honest limits. Our main point is simple. For many small churches, a free communication layer plus a free records tool will serve you better than a $72-$119 per month all-in-one suite.
Disclosure: Study The Word is built by our team at KG ProDesign. We include it because it is the tool we designed for exactly this problem, and we have tried to be fair to every option on this list.
What Is Church Management Software (ChMS)?
Church management software, usually shortened to ChMS, is a program that keeps your church's people and activity in one place. At its core, a ChMS is a database of members and visitors. Around that core, most products add some mix of:
- People records: names, households, contact details, membership status, notes
- Communication: email and, increasingly, text messaging
- Groups: small groups, Bible studies, ministries, and their rosters
- Events and attendance: calendars, sign-ups, and who showed up
- Giving: online donations and contribution records for year-end statements
- Check-in: secure child check-in with name tags, mostly used by churches with a staffed nursery or kids ministry
- Accounting: fund accounting, budgets, and reports for the treasurer
Large churches often use all seven. Small churches rarely do. That gap is where most of the wasted money in church software comes from.
What Church Management Software for Small Churches Actually Needs to Do
Before you look at any vendor, walk through this checklist with your pastor, your church secretary or office volunteer, and your treasurer. Mark each item "need now," "need later," or "do not need."
- Records. Do you need more than a spreadsheet or a printed directory? Most churches do once they pass a few dozen households, mainly so more than one person can keep the list current.
- Communication. How do you reach people today when something changes? If the honest answer is "a group text from the pastor's personal phone" or "an email that a third of people open," this is probably your biggest gap.
- Groups. Do you have Bible studies, ministries, or teams with their own leaders and rosters?
- Events and attendance. Do you need reminders for recurring events, RSVPs, or a record of who attended?
- Giving. Do people want to give online? Do you need recurring giving and year-end contribution statements, or just a simple way to give a one-time gift?
- Check-in. Do you run a children's ministry large enough to need printed security tags and parent pickup codes?
- Accounting. Does your treasurer need fund accounting inside the same system, or do you already use separate bookkeeping software?
If your "need now" list is mostly records, communication, and groups, you do not need a full suite yet. If accounting, child check-in, and recurring giving are all on it, you do.

The 6 Best Picks for Small Churches
1. Study The Word -- Best for Communication-First Small Churches
Type: Communication and groups layer. To be clear up front, Study The Word is not a full ChMS. It does not do accounting, child check-in, or recurring giving.
Price at the time of writing: Seed is free forever with 200 texts per month. Grow is $25/month (600 texts), and Flourish is $60/month (3,000 texts). Larger churches can get custom pricing. Every plan includes unlimited members, unlimited groups and ministries, and unlimited leaders. There is no per-member pricing. See the full Study The Word pricing page.
Strengths: Study The Word describes itself as "a simple communication layer for your church -- automatic text and email reminders for Bible studies, ministries, and events. No app to download. No new passwords." That is the whole idea. It works in any phone browser, so nobody has to find it in an app store.
- Church-wide text broadcasts from admins, ministry-wide texts, and group texts from group leaders
- Emergency texts that admins can send even if the church is out of text credits, that members cannot pause, and that skip quiet hours
- Quiet hours, so no routine texts go out between 9 PM and 8 AM church local time
- Two-way replies: members text YES, NO, or MAYBE to RSVP, and can PAUSE or RESUME
- Text-to-join, so a visitor can join a group by text with no app or account
- Each member chooses email, text, both, or none for each type of notice
- Unlimited email for event reminders, including weekly digests and 72-hour reminders
- Groups, rosters, join requests, QR codes to join, and attendance tracking with reports
- Sharing of study materials (PDFs, documents, images, notes) with members notified when posted
- Teacher assignments and substitutions
- One-time online giving through your church's own Stripe or PayPal account, with no platform fee
- A member directory where phone numbers are visible to admins only by default
Limits: No accounting. No child check-in kiosk. No recurring giving or pledges. No native app or push notifications. Volunteer scheduling covers teachers only. If you need those, pair it with a ChMS from this list.
Best for: Small churches whose biggest weekly problem is getting the word out, and larger churches that want simple texting next to the ChMS they already use. You can see the demo church to see what members see. If you want the background on why we built it, read the Study The Word case study.
2. Planning Center -- Best Free Modular ChMS
Price: Planning Center is sold as separate products. People (the member database) and the Church Center app are free. Each product has a free tier, and paid tiers start at $15/month per product. Texting costs $0.02 per text. See Planning Center pricing.
Strengths: Planning Center is a strong, full ChMS that many churches of every size rely on. Because it is modular, a small church can start with the free People product and add only what it needs later, such as Check-Ins for children's ministry, Giving, Groups, or Services for worship planning. You never pay for a product you are not using.
Limits: The learning curve is the most common complaint. Because each product is priced separately, the bill can turn into many small line items as you grow, and it takes some planning to know which tier of which product you need.
Best for: Small churches that want a real records system for free today, with a clear path to grow.
3. ChurchTrac -- Best With Built-In Accounting
Price: From $29/month (up to 75 names) to $119/month (unlimited). Messaging is an add-on at $7 per 250 credits. See ChurchTrac pricing.
Strengths: ChurchTrac includes accounting in its plans. For a small church whose treasurer is tired of keeping a separate set of books, having member records and accounting in one place can save real time.
Limits: Pricing goes up with the number of names in your database, so growth costs money. Texting is an extra charge on top of the plan.
Best for: Small churches where the treasurer's needs drive the decision.
4. ChMeetings -- Free Up to 50 People
Price: Free for up to 50 people. Paid plans run $12-$60/month. SMS costs extra. See ChMeetings pricing.
Strengths: A free ChMS is a good fit for a church plant or house church that wants proper records from day one without a monthly bill.
Limits: The free plan's 50-person cap is low, so many churches will outgrow it quickly. SMS costs extra.
Best for: Church plants and very small congregations. Check their current feature list to confirm it covers what you marked "need now."
5. Tithely Church Management (Formerly Breeze) -- One Vendor for Records, Giving, and App
Price: $72/month for Church Management, which includes 250 texts per month, then $10 per 500 more. Tithely also offers an App plan at $89/month and an All-Access bundle at $119/month. Tithely Giving has no monthly fee and charges 2.9% + $0.30 per card gift. There is a 30-day trial. See Tithely pricing.
Strengths: Breeze has long been known for its simple, easy-to-learn design, and it was rebranded as Tithely Church Management in August 2025. If you want church management, giving, and an app from one vendor, it is a reasonable choice, and the 30-day trial lets your volunteers test it before you commit.
Limits: At $72/month, it is a real line item for a small church budget, and that is before you add a church app or the All-Access bundle. Texting beyond 250 per month costs extra.
Best for: Churches that have decided they want one paid system from one vendor, and former Breeze users who want to stay on the same product.
6. Flocknote -- Free Up to 40, Popular With Parishes
Price: Free for up to 40 members, then priced by member count. See Flocknote pricing.
Strengths: Flocknote is an email and text communication tool that is especially popular with Catholic parishes. If your diocese or nearby parishes already use it, that familiarity counts for a lot.
Limits: It is a communication tool, not a full ChMS. Because pricing scales with your member count, cost rises as your parish grows.
Best for: Catholic parishes and ministries that want communication tools many parishes already know.

Recommended Stacks by Church Size
These are starting points, not rules. Adjust based on your checklist.
Under 100 people: Study The Word (free Seed plan) plus Planning Center People (free). Your monthly software cost is $0. You get a real member database and a way to text and email groups, ministries, or the whole church. If you also want online giving, Study The Word handles one-time gifts through your own Stripe or PayPal account.
100-300 people: Study The Word Grow ($25/month) or Flourish ($60/month), depending on how many texts you send, plus Planning Center or ChurchTrac. Choose Planning Center if you want to add modules like Check-Ins or Groups over time. Choose ChurchTrac if your treasurer wants accounting in the same system.
300+ people: A full ChMS, such as Planning Center with several paid modules, Tithely Church Management, or an enterprise platform like Pushpay (no public pricing, demo required) or Realm by ACS (no public pricing). Add Study The Word for texting if your ChMS charges per message or your leaders find its messaging hard to use.
Mistakes to Avoid
Paying per member when you do not have to. Several tools raise the price as your database grows. That is not wrong, but it means a successful outreach season can bump your bill. Know where your next price tier starts before you sign up.
Signing a multi-year contract. Contracts and price increases at renewal are a common complaint about some larger church platforms. A small church should be able to leave any tool within a month or two if it does not work out. Ask about contract length and renewal terms in writing.
Buying a custom app nobody downloads. A branded church app sounds great, but every member has to find it, install it, and remember a password. Pew Research reports that 98% of US adults own a cellphone, but only 78% of adults 65 and older own a smartphone (Pew Research Center). Text messages reach every one of those phones. An app reaches only the people who install it.
Choosing features over adoption. The best ChMS is the one your volunteers will actually keep up to date. A system with 40 features that only the pastor knows how to use is worse than a simple one the whole office uses. Before you buy, have the person who will use it most try it for a week.
A Note on Older Comparison Lists
If you are reading other "best ChMS" articles, check the date. Two changes have made many older lists out of date:
- Faithlife Equip's ChMS was discontinued on June 30, 2023. Any list that still recommends it is stale.
- Breeze is now Tithely Church Management. The product was rebranded in August 2025, so older reviews of "Breeze" describe the same product under its previous name and possibly older pricing.
Church Community Builder (CCB) also now redirects to Pushpay. If a list was written before these changes, treat its prices and recommendations with caution.

FAQ
What is the best church management software for a small church?
It depends on your checklist. For a free full ChMS, Planning Center People is a strong start. If accounting matters most, look at ChurchTrac. If your main problem is reaching people, start with Study The Word and add a records tool only when you need one.
Is there free church management software?
Yes. Planning Center People is free, ChMeetings is free for up to 50 people, and Flocknote is free for up to 40 members. Study The Word's Seed plan is free forever, though it is a communication and groups layer, not a full ChMS.
How much does church management software cost?
From $0 to more than $100 per month. At the time of writing, ChurchTrac runs $29-$119/month, ChMeetings $12-$60/month, Tithely Church Management $72/month, and Planning Center paid tiers start at $15/month per product. Enterprise platforms like Pushpay require a demo for pricing.
Planning Center vs Breeze: which is better?
Breeze is now Tithely Church Management at $72/month, a single paid product long known for its simple design. Planning Center is free to start with People and lets you add products one at a time, though users commonly mention a learning curve. Small churches on a tight budget usually start with Planning Center. Churches that want one paid system from one vendor may prefer Tithely.
Do small churches need accounting software in their ChMS?
Not always. If your treasurer already uses separate bookkeeping software and is happy with it, you do not need accounting in your ChMS. If you want everything in one place, ChurchTrac includes accounting.
Can we switch later?
Yes, and you should plan for it. Choose tools without long contracts, and make sure you can export your member data. Starting with free tools makes switching easy because you have no money tied up.
Start With What You Actually Need
You do not have to solve every problem at once. If your church's biggest need right now is making sure people hear about Bible study, events, and urgent changes, start there. Start free with Study The Word -- the Seed plan never expires, so there is no trial to watch. Or see the demo church first.
Add a free records tool like Planning Center People when you need one, and move to a full ChMS when your checklist says it is time. If your church needs something custom, reach out to our team.
